These booking terms and conditions are important and should be read carefully by all guests of Geufron Farm before agreeing to book with us.

Please do not hesitate to contact us at stay@geufronfarm.com to ask us if anything requires further explanation.

At the time of booking, it is assumed that you have read and have accepted these terms and conditions.

We look forward to welcoming you to Geufron Farm!

The terms and conditions govern the legal relationship between Head Outdoors Limited (company registered number 12096864) trading as “Geufron Farm”, who own and run the cottages, and you, “the customer”.

All bookings are made subject to, and strictly upon, these booking conditions.
Geufron Farm reserve the right to refuse a booking for any reason and without any liability.

The booking constitutes an offer by the customer to hire the cottage for the hire period in accordance with these booking conditions.

All bookings are provisional until the booking has been accepted by Geufron Farm issuing written acceptance of the booking (following checking the availability of the cottage) to the customer and upon receiving acknowledgement from Geufron Farm of your deposit, only at this point shall the booking come into existence and form a legally binding contract.

The customer must check the confirmation of the booking carefully once received and inform Geufron Farm immediately of any errors.

Charges and payments
A 30% deposit of the total cost of the holiday (including any booking fee and chargeable extras but excluding the damage waiver) shall be made at the time of placing the booking.

The 70% balance payment shall be made 8 weeks prior to the check-in date, or if the booking is made with less than 8 weeks to go before the check-in date, at the time of placing the booking.

The damage waiver is due for payment 2 weeks prior to the check-in date.

Any other additional costs incurred during your stay are to be settled in full before your departure.

There is no surcharge when paying by credit card, debit card, bank transfer or cheque.

All payments for cottage bookings from overseas guests (outside of the UK) are to be made in pounds sterling. If an overseas guest pays for a booking by bank transfer, they will be responsible for settling their own bank charges and Geufron Farm reserve the right to pass on to the guest any bank charges incurred by Geufron Farm from our own bank for receiving such amounts paid by bank transfer from a bank based outside of the UK.

Some bookings may be subject to price change (especially if booked far in advance of the check-in date) and the customer will be notified of any anticipated price changes at the time of booking. If the customer is unhappy with the price change, Geufron Farm will refund the deposit.

The customer will be responsible for any loss, damage or breakages sustained to the cottage (including any fixtures, fittings or other items within it) and/or its grounds, that is caused by you, your guests or your or their vehicles. You agree to pay to us on demand the sum required to make good or remedy such damage, including compensation for any loss of business while the damage is repaired. In the event that these rights are triggered, they are capable of transferring by subrogation to our insurers at the relevant time

Any such loss, damage or breakages or rubbish or unpleasant material left following your stay may result in the loss of all or part of any damage waiver and/or an additional charge being raised to the customer in respect of such damage or loss. A minimum administration charge of £75 plus VAT will be charged in respect of all bookings where damage occurs which results in an extra charge being made to the guest.

The customer shall pay all amounts due under these booking conditions in full without any deduction or withholding except as required by law and the customer shall not be entitled to assert any credit, set-off or counterclaim against Geufron Farm in order to justify withholding payment of any such amount in whole or in part.

If the balance due on a booking is not paid in full by the due date, Geufron Farm are entitled to cancel the booking without further notice, and without incurring any liability to the customer in respect of amounts already paid for the booking. Geufron Farm shall not refund any monies to the customer in such event occurring.

General booking conditions

– the number of guests occupying the cottage must not exceed the maximum number stated on the Geufron Farm website unless prior agreement by a Geufron Farm authorised representative has been given in writing. If the customer is in breach of this clause all guests occupying the cottage will be required to leave immediately without any refund from Geufron Farm.

All children aged 2 and over will be counted within the guest numbers of the booking for total occupancy purposes. Infants under 18 months and who sleep in a cot are able to stay at the cottage in addition to the normal cottage occupancy numbers.

Sleeping in vehicles including caravans or tents in or around the cottage is not permitted.

The names of all guests staying at a cottage are required within the booking information for insurance and emergency services purposes.

Access – all cottages will be ready to occupy from 4pm on the day of arrival (unless an earlier arrival time has been agreed in advance in writing with Geufron Farm). The cottage must be fully vacated by 10am on the day of departure unless agreed otherwise in writing with Geufron Farm. Please adhere to these times to enable the cottage to be prepared for the next guests. The customer also agrees to allow Geufron Farm reasonable access to the cottage if deemed necessary during the booking to carry out essential maintenance or other inspection necessary for the safety of the cottage and guests.

Please ensure the cottage keys are left in the cottage key safe when departing.

Cleanliness – during the booking the cottage and/or its grounds are to be kept in a clean, fit and proper state and must be left relatively tidy on the day of departure.
General behaviour – the customer and their guests must behave in a proper and decent manner whilst at the cottage, refrain from loud, aggressive and/or abusive behaviour and not commit any dangerous, senseless, improper, immoral or indecent act whilst at the cottage. The customer and their guests also agree not to cause nuisance or annoyance to guests of nearby cottages and/or other properties. If in the opinion of Geufron Farm, a customer or guest is deemed not to be suitable to continue their stay at the cottage because of a failure to adhere to the general behaviour booking condition, the customer and/or guest(s) may be asked to vacate the cottage. In the event of such action, the customer will remain liable for the whole cost of the booking and no refund shall be due.

Damage and breakages – the customer must ensure that the cottage, its fixtures and fittings and all contents are treated properly, not damaged in any way and are left in exactly the same state and condition at the end of the booking as at the commencement of the booking. In the event of any damage or breakages, the customer must inform the host immediately upon becoming aware or if the host is not available to send an e-mail with photographs if possible to stay@guefronfarm.com with full details of the damage or breakage. Please do not allow ball games to be played in the immediate vicinity of the cottages.

The customer agrees to pay for any breakages, losses or damage to the cottage (including any fixtures, fittings or other items within it) and/or its grounds which occurs during the customer’s booking. Where a damage waiver is paid by the guest, Geufron Farm reserve the right to deduct the cost of any breakages, losses or damages from the damage waiver. Any balance remaining from a damage waiver payment will then be returned to the guest. If the damage waiver paid does not cover the full cost of any breakages, damages or losses, a claim will be made to the guest for the difference.

Damage waiver – for all cottages where the permitted occupancy is 8 guests or above, or for large party bookings occupying more than one cottage under the same booking reference, a £500.00 refundable damage waiver will be payable with the balance payment. We reserve the right to increase the damage waiver charged if the party size exceeds 8 people. The damage waiver is held to cover any damage to the cottage and/or its contents (including swimming pool), any missing items, evidence of smoking or extra cleaning. The damage waiver will be refunded to the guest following departure within 5 working days (ordinarily to the debit or credit card used to make the original payment), following inspection of the cottage by the housekeeping team and a report being sent to the Geufron Farm administration office that no damage or breakages occurred during the booking.

For all other cottages where the permitted occupancy is less than 8, a refundable damage waiver of £250.00 will be payable with the balance payment. The repayment of the damage waiver for these bookings will follow the same procedure as noted above. For the avoidance of doubt, all damage waivers paid are to cover the whole or part of any loss, damage or breakage which occurs during a booking.

Smoking – Smoking is not permitted in any of the cottages and/or its grounds at any time.

Bed Linen & Towels – bed linen is included in the price of the booking. Beds are made up on arrival. Bathroom towels are provided but we would advise you to bring extra towels if you are staying in the Hen Dy Ffarm “The Old Farmhouse” which has exclusive access to the outdoor pool or are planning a trip to the beach. Cottage towels must not be used outside of the property.

If you require a different bed configuration, please ask at the time of booking as we may (at our discretion) be able to accommodate this.

Swimming Pool (The Old Farmhouse guests only) – Guests of The Old Farmhouse have exclusive access to the outdoor pool to use during their booking. For their own safety, all guests must follow the policy rules for the pool and note the risk assessment which is set out in the welcome folder in The Old Farmhouse. We will make every effort to ensure that the pool is ready to be used as soon as you arrive at the cottage, but this is not always possible, especially when we have back to back cottage bookings. In any event, the pool should be ready to use no later than the second day of your stay. In colder conditions, it may take longer for the water to reach the appropriate temperature. Parents must ensure that children are supervised at all times in and around the hot tubs.

Under no circumstances should any chemicals such as shampoo, washing up liquid etc be added into the pool water to create bubbles. If there is evidence of misuse of the pool, Geufron Farm reserve the right to charge the customer an extra £100.00 for corrective maintenance, in addition to any loss or damage Geufron Farm may incur in rectifying this misuse.

Please note it is the lead guest’s responsibility to ensure all guests are familiar with the pool safety information and utilise the facility without causing any damage to the pool, pool cover or themselves.

Any damage to the pool or pool cover during a booking will result in part or all of your damage waiver being retained as per these terms and conditions. Should the cost of the damage repair exceed the damage waiver paid, the difference will be demanded from the Customer.

Should any issue arise with the pool (save for the customer’s misuse of the pool) that renders it unusable during a booking we will do our utmost to arrange for an appropriate professional to fix the problem as soon as reasonably possible, once we have been notified of the issue. However, response times are again out of our control.

Dogs – up to 2 well trained and well-mannered dogs are accepted at all of the cottages at a cost of £25.00 per dog per stay. Dogs must be kept under control at all times and must never be left alone in the cottage. Dogs are not allowed in any of the bedrooms or on any of the furniture, and especially not on the beds. Please bring with you appropriate dog bedding and any necessary feeding equipment and when at the cottage.

All traces of pets (e.g. dog hair) must be removed from the cottage before the customer vacates the cottage. This also includes the removal of all traces of dogs from the outside area of the cottage. None compliance with this clause will incur additional cleaning costs to be paid by the customer. When out walking within the property grounds, you must ensure that dogs are kept on a lead except where indicated.

Your attention is particularly drawn to the dog walk which although described as enclosed, may not be fully escape-proof for all dogs. Dogs must not be allowed to disturb livestock. We reserve the right to seek details of any dogs in advance and to refuse permission for them to be brought to the accommodation for any reason, including if they are considered unsuitable in character, size or behaviour, or liable to be a nuisance or danger to other guests. No other domestic pets can be accepted without prior written agreement with Geufron Farm.

Lost property – Geufron Farm does not accept any responsibility for damage or loss to any equipment, items or property belonging to the customer whilst at or left at the cottage. It is the responsibility of the customer to check that you have packed all of your personal belongings before you depart from the cottage. Geufron Farm regrets that any property left at a cottage cannot be posted back to the customer although it will be retained at the Farm office for a period of 4 weeks after departure for the customer to collect via private arrangement. Items not claimed after 4 weeks of vacating the cottage will be disposed of.

Wi-Fi/internet and mobile phone reception – cottages which have wireless internet access are noted in the cottage description. However, as the cottages are located on a rural estate, there may be periods where internet access is intermittent or even on occasion unavailable for a short period of time because of the distance to the nearest BT exchange and/or the remoteness of the cottage. Additionally, we would like to note that if there is no internet connection due to factors outside the control of Geufron Farm, such as fallen wires or thunderstorms, we will not be held responsible for the lack of internet connectivity. In these circumstances, we will do our utmost to arrange for an appropriate professional to fix the problem as soon as reasonably possible, once we have been notified of the issue. However, response times are again out of our control. If internet access via Wi-fi is of paramount importance to you during your stay with Geufron Farm, please contact us when making your booking as we cannot guarantee that broadband connection will not be interrupted during your stay. There is no charge for Wi-fi at the cottages which have this facility.

Due to the rural location of the cottages, mobile phone reception cannot be guaranteed.
The customer and guests are responsible for the proper use of the internet and to ensure that no excessive downloading takes place and that no illegal or offensive material is viewed or downloaded. Any customer found to be downloading or viewing illegal or offensive material will be reported to the relevant authorities.

Dangerous and/or illegal items – the customer and guests may not bring any such items to the cottage.

Charging of electric vehicles – you are not permitted to charge your electric vehicle using the electricity supply at a cottage without our prior written consent. Any request for using the electricity supply at the cottage for recharging your electric vehicle will be considered on an individual request basis. Agreement to the charging of an electric vehicle is at the discretion of Geufron Farm, and subject to such an agreement, an extra charge of a minimum of £6.00 per day per vehicle will be levied within your booking for electricity charges for recharging your vehicle.

Mid-stay changeover – if a guest requires a changeover of bedding and towels during their stay at a Geufron Farm cottage, there will be a charge per bed where the bedding and towels are changed.

Changes and the cancellation policy

Changes by the Customer
– if the Customer requests a change to the Booking then Geufron Farm, entirely at Geufron Farm’s sole discretion, will use its reasonable endeavours to accommodate such requested changes but shall not be under an obligation to do so.

Changes by Geufron Farm – Geufron Farm may make any reasonable changes to the Booking that it deems are necessary and/or that are beyond its control and/or required to by law.

Cancellation by the Customer –Subject to subsections a-c below, the customer may cancel the booking by notice in writing to Geufron Farm at any time before the check-in date.

In all circumstances, any booking fees shall be forfeited and are non-refundable under any circumstances. The following amounts shall remain payable depending on when Geufron Farm receives notice from the customer of their wish to cancel the Booking:

a) if the customer cancels more than 12 months before the holiday – no fee shall be payable.

b) if the customer cancels less than 12 months but more than 8 weeks before the check-in date – 30% of the total rental cost shall be payable or forfeited if already paid.

c) if the customer cancels less than 8 weeks before the check-in date – 100% of the total rental cost shall be payable or forfeited if already paid.

In the event of Geufron Farm receiving notice from the customer of their wish to cancel the booking, then if Geufron Farm in its sole discretion deems it appropriate it may try and rebook the cottage for the dates of the booking to another customer but shall be under no obligation to do so. In the event of Geufron Farm finding a suitable substitute booking for equal to or greater than the original rental fee, then the Geufron Farm will return to the customer any monies already paid to Geufron Farm minus any booking fees paid.

Geufron Farm may, at its sole discretion, waive any monies payable by the customer under this clause. The customer should inform Geufron Farm in writing if there are any exceptional circumstances that have caused the customer to cancel the booking. Geufron Farm will decide on a case by case basis if there is a good reason for the monies payable under this clause by the customer to be waived. Geufron Farm is under no obligation to waive any monies pursuant to this clause.

Please note that we recommend that you consider taking out your own holiday insurance which is appropriate for the booking you have made with Geufron Farm.

Cancellation by Geufron Farm – in the unlikely event that Geufron Farm has to cancel the booking due to a reason beyond our control, we will use reasonable endeavours to find the customer suitable alternative accommodation at no additional cost or offer the customer a refund, save in the event of force majeure when Geufron Farm shall be under no obligation to offer suitable alternative accommodation to the customer.
Cancellation of the booking may also happen when the customer fails to pay any amount to Geufron Farm when due or the customer commits a material breach of these booking conditions.

Customer Obligations
The customer who makes the booking must be 21 years of age or older and shall assume responsibility for all guests staying at the cottage during their booking and for any visitors who may attend during the stay. It is the customer’s responsibility for and on behalf of its guests to:

a) Ensure that the terms of the booking are complete and accurate
b) Co-operate with Geufron Farm in all matters relating to the booking
c) Provide Geufron Farm with such information as requested from time to time as soon as reasonably practicable following such request
d) Notify Geufron Farm immediately of any proposed changes to the booking or a proposed cancellation
e) Ensure the absolute compliance with these booking conditions, in particular relating to the general rules of occupancy; and
f) Ensure their guests and/or invitees have read, understood and abide by these booking conditions

If the performance of Geufron Farm of any of its obligations under the booking is prevented or delayed by any act or omission by the Customer or failure by the customer to perform any relevant obligation (customer default), Geufron Farm shall without limiting its other rights or remedies have the right to suspend the booking until the customer remedies the customer default, and to rely on the customer default to relieve it from the performance of any of its obligations to the extent the customer default prevents or delays Geufron Farm’s performance of any of its obligations;
Geufron Farm shall not be liable for any costs or losses sustained or incurred by the Customer arising directly or indirectly from Geufron Farm’s failure or delay to perform any of its obligations and the customer shall reimburse Geufron Farm following written demand for any costs or losses sustained or incurred by Geufron Farm arising directly or indirectly from the customer default.

Accuracy of promotional material
Any information or description of the cottages or surrounding facilities is provided in good faith and is for guidance only. Whilst every effort has been made to ensure accuracy, Geufron Farm accepts no responsibility for any errors, inaccuracies, omissions, misdescription or incorrect information.

Limitation of liability
Nothing in these booking conditions shall limit or exclude Geufron Farms’ liability for:
a) Death or personal injury caused by its negligence, or the negligence of its employees, agents or subcontractors
b) Fraud or fraudulent misrepresentation
Geufron Farm shall under no circumstances whatever be liable to the customer, whether in booking, tort (including negligence), breach of statutory duty, or otherwise, for any loss of profit, loss of enjoyment, or any indirect or consequential loss arising under or in connection with the booking; and
Geufron Farm’s total liability to the customer in respect of all other losses arising under or in connection with the booking, whether in booking, tort (including negligence), breach of statutory duty, or otherwise, shall in no circumstances exceed the rental fee in respect of the particular booking.

In addition, Geufron Farm accepts no responsibility for the acts or failure of
a) Public utilities – e.g. in respect of water, gas and/or electricity;
b) The internet or WIFI supply; and
c) Third parties – e.g. in respect of noisy neighbours.

If the customer wishes to make (and/or attempt to make) a legal claim of any kind in respect of their booking, then they must send full details and particulars of the claim to Geufron Farm within 21 days of vacating the property otherwise their right to bring and pursue such claim shall be lost irrevocably.

These booking conditions apply to the booking to the exclusion of any other terms that the Customer seeks to impose or incorporate, or which are implied by trade, custom, practice or course of dealing.

All bookings and rental fees specified or advertised from time to time are dependent on the cottage being available at the time of making the booking and may change without notice before this time.

Concerns whilst staying in our cottages
In the event that you have any problems, concerns or complaints during your stay, please contact your host in the first instance. The host details will be in your welcome pack and should also be on the key fob for the cottage. Your host will do what they can to deal with the query as they see best as soon as reasonably practicable following receipt of the details. Geufron Farm will not respond to any complaints raised 10 days or more following check out from the cottage.

General provisions
Entire Agreement – these booking conditions constitute the entire agreement between the parties. The customer acknowledges that he or she has not relied on any statement, promise or representation made or given by or on behalf of Geufron Farm which is not set out in the booking.

Force majeure – for the purposes of this booking, a force majeure event means an event beyond the reasonable control of Geufron Farm including but not limited to strikes, lock-outs or other industrial disputes (whether involving the workforce of Geufron Farm or any other party), failure of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, compliance with any law or governmental body, rule, regulation or direction, accident, breakdown of plant or machinery, fire, flood, storm or default of suppliers or subcontractors. Geufron Farm shall not be liable to the customer as a result of any delay or failure to perform its obligations under a booking as a result of a force majeure event.

Any notice or other communication required to be given to a party under or in connection with this booking shall be in writing and shall be delivered to the other party personally or sent by pre-paid first-class post, recorded delivery or by commercial courier, at its registered office (if a company) or (in any other case) its principal place of business.

Any notice or other communication shall be deemed to have been duly received if delivered personally, when left at the address referred to above or, if sent by pre-paid first-class post or recorded delivery, at 9.00 am on the second business day after posting, or if delivered by commercial courier, on the date and at the time that the courier’s delivery receipt is signed.

This clause shall not apply to the service of any proceedings or other documents in any legal action. For the purposes of this clause, “writing” can include e-mails and for the avoidance of doubt notice given under this booking can be validly served if sent by e-mail.

Waiver: A waiver of any right under the booking conditions is only effective if it is in writing and shall not be deemed to be a waiver of any subsequent breach or default. No failure or delay by a party in exercising any right or remedy under the booking or by law shall constitute a waiver of that or any other right or remedy, nor preclude or restrict its further exercise. No single or partial exercise of such right or remedy shall preclude or restrict the further exercise of that or any other right or remedy.

Severance: If a court or any other competent authority finds that any provision of the booking (or part of any provision) is invalid, illegal or unenforceable, that provision or part-provision shall, to the extent required, be deemed deleted, and the validity and enforceability of the other provisions of the booking shall not be affected.
If any invalid, unenforceable or illegal provision of the booking would be valid, enforceable and legal if some part of it were deleted, the provision shall apply with the minimum modification necessary to make it legal, valid and enforceable.

Third parties: A person who is not a party to the booking shall not have any rights under or in connection with it.

Variation: Except as set out in these booking conditions, any variation, including the introduction of any additional terms and conditions, to the booking, shall only be binding when agreed in writing and signed by Geufron Farm.

Governing law and jurisdiction: Any dispute or claim arising out of or in connection with the booking or its subject matter or formation (including non-contractual disputes or claims), shall be governed by and construed in accordance with, English law, and the parties irrevocably submit to the exclusive jurisdiction of the courts of England and Wales.


In these booking conditions, the following definitions apply:
Booking: the reservation of the cottage by the customer in relation to a particular cottage.
Booking conditions: these terms and conditions as amended from time to time.
Chargeable extras: any chargeable extras specified by Geufron Farm, such as pets or pool.
Customer: the person or company who purchases services from Geufron Farm.
Deposit: an amount equal to 30% of the rental fee.
Geufron Farm: the trading name of Head Outdoors Limited. The company number is 12096864. The registered office is located at 12 The Hedgerows, Hawarden, Flintshire, CH5 3LY.
Cottage: the cottage to which the booking relates, and the customer wishes to hire.
Rental fee: the cost of the hire of the cottage as specified or advertised from time to time.
Damage waiver: an additional deposit paid by the customer to Geufron Farm at the time of making the booking to cover damage or loss to or at the cottage during the booking.
Total rental cost: the total rental amount of the booking including booking fee and any chargeable extras associated with the booking.
